Context

Dental clinics often rely on multiple disconnected tools for appointments, patient records, treatment documentation, financial operations, and communication. This fragmentation makes it difficult for doctors, receptionists, and accountants to access accurate information and coordinate daily operations efficiently.

Challenge

The project required a secure and scalable system capable of managing the complete patient journey, from registration and appointment booking to clinical treatment, invoicing, payment collection, follow-up, and communication. The platform also needed role-based access, Arabic and English support, live scheduling, detailed audit trails, and reliable deployment on Microsoft infrastructure.

Solution

AYAN Codex designed and developed a centralized web-based dental clinic management system using ASP.NET Core and SQL Server. The solution provides dedicated workflows for administrators, doctors, receptionists, and accountants while maintaining a unified patient record across all clinical and administrative operations.

• Centralized patient profiles containing contact information, visit history, financial summaries, medical records, prescriptions, treatment plans, and clinical media.
• Interactive appointment calendar with doctor filters, appointment statuses, working hours, drag-and-drop rescheduling, and double-booking prevention.
• Role-based workflows for administrators, doctors, receptionists, and accountants.
• Dental chart based on the FDI tooth-numbering system for documenting tooth-level conditions and treatments.
• Treatment plan management with planned services, pricing, progress tracking, and clinical notes.
• Invoice and payment management with discounts, taxes, outstanding balances, and multiple payment methods.
• Prescription creation and A5 printing linked to the authenticated doctor and patient record.
• Medical history, X-ray images, treatment progress photos, and patient document management.
• Automated appointment reminders and notification queues for WhatsApp, SMS, and email.
• Real-time appointment updates using SignalR and scheduled background operations using Hangfire.
• Bilingual Arabic and English user interface with complete right-to-left support.
• Audit logging, phone validation, secure identity management, and deployment-ready architecture.
